First off, you need to take as many notes as possible, because your boss is most likely going to give you a set of things that he wants and needs, his likes and dislikes. So listen carefully and effect sure that everything is covered and if you have to ask questions.
Normally you are going to need to know what your boss’ budget is, how long is he planning on going on this trip. What items he may need to capture with him. If some things like documents and files that you may need to acquire yourself. That is if he is going to meet a client. Produce sure all forms and documents are available for him and place them in a manila folder, labeled documents and forms. Most likely he’ll put it in his brief case.
Once finding out what his budget is and how long the trip is to last then everything else will fall in place. Like where he’ll be staying at. If your boss knows nothing about the location that he is traveling to, then you could do some research on that location. Next you may need to check some flights if he will be flying by airplane. Make sure there will be flights available for him to cruise. See if there is Internet connection just in case he may be bringing his laptop. Sometimes you have to mediate ahead and thinking ahead is the best quality in a secretary. Construct sure you plan his flight in an ample enough time. Most likely you will get a discount for planning so far ahead and look to see if there are more discounts depending upon the company that you work for.
After that, based upon what your boss state on the type of food he likes, then you can give him a list of the best restaurants in the city and the type of food he likes. Give him places he can eat for breakfast, lunch and dinner. Let him know if he is needing a reservation or if he can walk in. Also, give him a list of restaurants that he can hold a meeting with a client and so forth. Also take a look at reviews of what customer’s mediate of these restaurants. Also, give him the time of openings and closings.
If your boss is to be meeting a client make sure he has name of the person or company as well as the phone numbered. Make sure he is prepared. Especially if he is meeting that client for the first time. Being prepared would definitely make a good first impression. Obtain determined he is prepared and organized even if you have to make a day to day schedule of what he will be needing to do each day.
Also, see if your boss is looking into renting a car and what type of car is looking to rent. Also, if he is in a set that he knows nothing about, make distinct the car has a GPS system or add that on as an extra for him, so it’ll guide him throughout the city.
